The Arctic Research Consortium of the United States (ARCUS) announces a
call for applications for the position of Executive Administrative
Assistant. This part-time, hourly, non-exempt position will primarily be
a work-from-home appointment in the D.C./Maryland/Virginia region, with
the possibility of meetings and occasional work at the ARCUS Washington
D.C. office.

The successful candidate will report directly to the Executive Director
located at ARCUS's Washington D.C. office and will work with some
supervision on a range of important and often confidential
administrative and executive support duties.

The primary duties are to provide support to the Executive Director and
include, but are not limited to:

  • Manage complex calendars and arrange video conferences, meetings,
    appointments, and travel on behalf of the Executive Director, Board, and
    other groups, including polling members for availability, determining
    most appropriate meeting time, and informing members about agenda items
    and logistical aspects of the meetings;
  • Arrange travel for Executive Director and other administrative travel
    consistent with travel policies and procedures;
  • Take notes at meetings and prepare summary documents in consultation
    with the Executive Director;
  • Compose and edit letters, memoranda, reports, and presentations;
  • Maintain key office documentation, such as staff listings, notes,
    minutes, and other files in an organized electronic structure;
  • Disseminate corporate correspondence, such as membership/funding
    appeals and holiday cards;
  • Answer and route phone calls and email messages and handle a wide
    range of information dissemination;
  • Provide similar administrative support to other ARCUS functions at the
    direction of the Executive Director, time permitting; and
  • Other duties as assigned.

Key competencies for this position include:

  • The ability to handle a variety of small and large tasks in an
    independent manner;
  • The ability to thrive in support of a geographically distributed
    organization nationwide, using the organization's collaborative
    technology platforms to enable the work;
  • Excellent attention to detail and ability to implement standard
    procedures reliably; and
  • 1-2 years prior experience in administrative support, preferably in a
    work-from-home situation.
